Google Workspace has changed more in the past two years than its familiar Gmail, Docs and Drive interface might suggest.

Google Workspace is becoming an AI-connected work environment in which Gemini can search across organizational information, summarize it, create new work from it and, increasingly, perform approved actions.

Google calls the underlying context system Workspace Intelligence. It connects the meaning and relationships contained across Gmail, Chat, Calendar and Drive, including Docs, Sheets and Slides, while respecting the information a particular user is permitted to access.

This changes the value proposition.

The old Google Apps question was:

The 2026 question is:

Can an AI understand your organization’s scattered information well enough to help you find, interpret, create and act on it without sacrificing accuracy, security or human judgment?

That is the question at the center of this Google Workspace review.

Google Workspace Review 2026: Quick Verdict

Google Workspace remains one of the strongest productivity and collaboration platforms for businesses, particularly organizations that prefer browser-first work, shared documents and cloud-native collaboration. In 2026, its biggest advantage is no longer collaboration alone. Gemini, Workspace Intelligence and Workspace Studio are turning it into an AI-assisted information and workflow platform.

Its weaknesses have not disappeared. Microsoft still has important advantages for organizations dependent on sophisticated desktop Office workflows, particularly complex Excel, Word and PowerPoint work. Google’s rapid AI rollout also creates its own complexity: features vary by edition, language, region and rollout channel, while some highly publicized functions remain previews rather than universally available tools.

What Is Google Workspace?

Google Workspace is Google’s subscription-based productivity and collaboration platform for organizations. It combines business Gmail, Drive, Docs, Sheets, Slides, Meet, Calendar, Chat and other tools with administration, security, storage and increasingly Gemini-powered AI capabilities.

It is the successor to both Google Apps for Work and G Suite.

Google formally introduced the G Suite name on September 29, 2016. Four years later, on October 6, 2020, the company introduced the Google Workspace name and positioned Gmail, Calendar, Drive, Docs, Sheets, Slides, Meet and Chat as a more tightly connected work environment.

The next major transition came in January 2025, when Google began including its major Gemini AI capabilities in Workspace Business and Enterprise subscriptions instead of treating business AI primarily as a separate add-on.

By 2026, Workspace has entered another stage: AI is becoming a layer across the suite rather than an isolated button inside individual applications.

Is G Suite Still Available?

No. G Suite is no longer Google’s current product name. Google renamed Google Apps for Work to G Suite in September 2016 and renamed G Suite to Google Workspace in October 2020.

Older references to Google Apps for Business, Google Apps for Work or G Suite generally describe earlier generations of what is now Google Workspace.

This is worth explaining because searches for “G Suite review,” “Google Apps review” and “Google Apps for Work” still lead people to older articles that describe products, limits and interfaces that have since disappeared.

From Google Apps to AI-powered Workspace

The progression matters because Google has moved from competing primarily at the application level to competing at the information and workflow level.

What Is Included in Google Workspace in 2026?

The exact capabilities depend on the edition, but the core environment includes:

Google Workspace Apps Reviewed

Gmail

Gmail remains one of Workspace’s strongest reasons for adoption.

Businesses get custom-domain email, familiar Gmail search, organizational administration and tight integration with Calendar, Drive, Chat and Meet.

Gemini adds several layers above conventional email.

Users can draft and refine messages, summarize conversations and use context from Workspace information where the relevant features and permissions are enabled. More significantly, Google introduced AI Overviews in Gmail search in April 2026.

Instead of constructing only keyword queries, eligible users can ask natural-language questions such as what was agreed in a project discussion or which invoices have been paid. Gmail can synthesize information across multiple conversations into an answer. Google made the feature available to Business Starter, Standard and Plus as well as Enterprise Starter, Standard and Plus, although Workspace smart features and the applicable Gemini settings must be enabled.

That is an important search change.

Traditional Gmail search answers:

“Which messages match this query?”

AI-assisted Gmail can increasingly answer:

“What do my messages collectively say about this question?”

Those are different information-retrieval tasks.

Google also announced Gmail Live, a voice-based conversational experience, and continued expanding AI Inbox during 2026. However, these should not be presented as universally available business features. Google’s May announcement described the new voice functionality as rolling toward consumer AI subscriptions and preview access for Workspace business customers, while AI Inbox had narrower access and preview conditions.

Gmail verdict

Gmail is excellent for organizations already comfortable with Google’s communication model. In 2026, its advantage is increasingly the ability to connect email with organizational context.

The caution is that a synthesized answer is not the same thing as an authoritative email record. If a decision matters, open the underlying messages and verify what was actually written.

Google Drive

Google Drive may be the most strategically important part of Workspace in 2026.

It is still a cloud file system, but that description is becoming incomplete.

Traditional Drive search

Historically, finding information in Drive meant working with:

• File and folder names
• Keywords
• Owners
• Dates
• File types
• Metadata
• Search operators
• Shared locations

Those methods remain valuable because they are precise and reproducible.

AI Overviews in Drive

Google made AI Overviews in Drive generally available to eligible Workspace users in April 2026.

Users can ask natural-language questions and receive summaries synthesized from multiple relevant files. They can then move from the overview into a deeper Gemini conversation. The feature is available on Business Standard and Plus and Enterprise Standard and Plus, among other eligible plans.

Ask Gemini in Drive

Google also made Ask Gemini in Drive generally available in April 2026.

This provides a dedicated conversational environment for exploring and analyzing content across Drive, Workspace applications and, where applicable, the web. Google describes it as supporting high-context, multi-turn conversations over bodies of work rather than one-document-at-a-time assistance.

This is a fundamental change.

Drive is moving from:

A researcher could ask a question about a project without necessarily remembering which proposal, spreadsheet or email contains the answer.

That convenience is significant, but so is the new responsibility it creates.

Permissions still matter

Workspace Intelligence and Gemini are designed to respect existing user permissions. Google states that AI responses can be grounded only in material the user is already authorized to access. Administrators can also control which Workspace data sources Workspace Intelligence can actively use.

This is reassuring, but it highlights an important governance principle:

AI does not repair bad permissions. It makes the consequences of existing permissions more visible and potentially more powerful.

If a user has access to information they should not have, an AI capable of locating and synthesizing that information can make an old permissions problem easier to exploit.

Drive verdict

Drive has evolved from one of Workspace’s best storage tools into one of its most interesting research and enterprise-search tools.

For information-heavy organizations, this may be a bigger competitive advantage than another AI writing feature.

Google Docs

Google Docs still excels at the things that made it popular: simple browser-based writing, automatic saving, comments, suggestions, version history and simultaneous editing.

Gemini substantially expands what the editor can do.

By mid-2026, Google was rolling out a redesigned Gemini experience in Docs that can use information from Drive, Gmail, Chat and the web. Functions include creating formatted drafts, making suggested edits across a document, matching writing style and reproducing formatting or structural patterns from reference material. User-approved editing remains important because suggested changes are not automatically equivalent to correct changes.

For research teams, this can reduce the manual work involved in turning scattered notes and source documents into an initial report.

It does not eliminate the need to verify that the report accurately represents those sources.

Where Docs still falls short

Google Docs is not automatically the best tool for every complex document.

Organizations that rely on intricate Word templates, specialized publishing workflows, heavy desktop automation or exact Office-format fidelity may still prefer Microsoft Word.

Docs remains strongest when collaboration, speed and shared access matter more than advanced desktop publishing control.

Google Sheets

The difference between Sheets in 2016 and Sheets in 2026 is particularly large.

The original Google Apps-era criticism was that Sheets covered common spreadsheet work but lacked the depth of Excel. That remains partly true for advanced spreadsheet specialists, but AI is changing what ordinary users can accomplish.

Building spreadsheets with natural language

Google introduced Gemini capabilities that can build and edit entire spreadsheets from natural-language instructions.

Gemini can use tables, formulas, charts and pivot tables, and Workspace Intelligence can provide context from files, email, chats and the web where appropriate. By June 2026, Google had expanded the functionality to 28 additional languages for eligible Business Standard/Plus and Enterprise Standard/Plus users.

This is more substantial than “suggest a formula.”

A user can describe an end state, allow Gemini to form a plan and have it construct multiple elements of the spreadsheet.

Sheets Canvas

Google went further in August 2026 with Sheets Canvas, which can turn spreadsheet data into interactive, read-write mini-apps using natural-language prompts.

Sheets vs Excel

For collaborative analysis, project tracking and ordinary business data, Sheets is increasingly capable.

Excel still has the advantage for many organizations doing sophisticated financial modeling, advanced desktop workflows, extensive existing Excel automation or specialist analytical work.

The interesting change is that the expertise threshold for creating useful spreadsheets in Sheets is falling. Natural-language construction makes advanced-looking outputs accessible to people who may not know every formula or pivot-table operation.

That does not mean the resulting analysis is automatically correct.

Google Slides

Google Slides remains an easy collaborative presentation tool, but Gemini has changed the starting point.

In June 2026, Google announced that eligible users could create a full, multi-slide, native and editable presentation from a prompt.

Gemini can ground the deck in Drive files, use another presentation as a style reference and suggest relevant emails, files or chats to enrich the output. The result is composed of editable Slides rather than a static AI image of a presentation.

This solves one of the weaknesses of early presentation-generation AI: content no longer has to be trapped in a difficult-to-edit generated layout.

PowerPoint remains stronger for many advanced presentation designers and Microsoft-centric enterprises. But for teams that already store their research and project context in Workspace, the ability to create an editable presentation from that context is increasingly useful.

Google Meet

Google Meet has matured well beyond the simple Hangouts video calls described by old G Suite reviews.

Current business plans support substantially larger meetings, recording and administrative features depending on edition.

AI is now central to the experience.

Google’s Take notes for me capabilities can create meeting notes, summaries and structured sections. Transcripts and recordings can become part of the organization’s searchable information environment.

Google also made AI-powered speech translation generally available for selected business plans in early 2026. By April, the functionality had reached mobile devices, supporting bidirectional translation between English and Spanish, French, German, Portuguese and Italian, with one language pair active per meeting.

For distributed international teams, this is a meaningful collaboration capability.

For researchers, automated meeting notes are helpful but should not automatically become evidence. Important quotes, commitments and interview findings should still be checked against the original recording or transcript where available.

Google Calendar

Google Calendar remains one of the least complicated Workspace products, and that is largely a strength.

It handles:

Its role becomes more interesting when Calendar is used as a data and action source for Gemini.

Google Chat

Google Chat has historically suffered from being evaluated as “Google’s Slack alternative.”

That comparison is still useful, but it misses Google’s 2026 strategy.

On August 26, Google began rolling out Ask Gemini in Chat, describing it as a unified command line for work.

Eligible Business Standard/Plus and Enterprise Standard/Plus users can use it to:

• Search Gmail, Drive and Calendar
• Generate content
• Catch up on conversations

Because rollout began only five days before this review’s cutoff, it should be described as a feature in active rollout, not something every eligible account necessarily had already received.

Do Workspace users still need Slack?

For organizations centered on Workspace, Chat is becoming increasingly difficult to dismiss because Gemini can turn it into a front door to other Workspace information.

Slack may still be preferable when an organization already depends heavily on its app ecosystem, channel culture, integrations or Salesforce environment.

Microsoft Teams remains a stronger fit for many Microsoft 365 organizations because meetings, files, SharePoint, Office applications and Microsoft’s AI ecosystem are similarly integrated.

The choice is therefore less about which chat interface looks best and more about where the organization’s knowledge and workflows already live.

Google Vids

Google Vids has become an increasingly significant part of Workspace.

It is intended for collaborative business video rather than professional cinema or high-end video post-production.

In 2026, Gemini-powered Vids can generate and edit video content, use AI presenters and support increasingly sophisticated text-directed changes.

In July, Google introduced Gemini Omni in Vids for higher-quality generation and natural-language edits. Google specifically noted geographic restrictions for editing non-AI footage at launch, including the EEA, Switzerland, the United Kingdom, Texas and Illinois.

This illustrates an important rule for evaluating Workspace AI:

“Available in Workspace” does not always mean available in every country, language, plan or workflow.

Vids is useful for:

• Training videos
• Internal communications
• Product explainers
• Sales content
• Project updates
• Simple marketing videos

It is not a replacement for specialized professional editing software.

Other Workspace Tools Worth Knowing

Google Forms

Gemini can generate forms from natural-language prompts and reference supporting Docs, Sheets, Slides or PDFs. By April 2026, this was available in many additional languages for Business Standard/Plus and Enterprise Standard/Plus. Google also added Gemini-assisted quiz generation in July.

Apps Script and AppSheet

For organizations that need more than standard workflows, Apps Script provides programmable automation while AppSheet supports no-code application development.

Admin Assist

In August 2026, Google introduced Admin Assist in the Google Admin console for Business Starter, Standard and Plus.

It provides a Gemini-powered side panel and AI-generated search overviews to help super administrators understand settings, troubleshooting procedures and management tasks. Google described it as available at launch to super admins, not delegated administrators.

This is a good example of AI moving beyond end-user content generation into IT administration.

Gemini for Google Workspace: How AI Changes the Suite

The biggest mistake in reviewing Workspace in 2026 would be to create a short “Gemini features” section and then continue reviewing the applications as though AI were optional decoration.

Gemini is increasingly part of the architecture.

Google’s January 2025 decision to include major Gemini capabilities with commercial Workspace plans changed the economics of business AI. Previously, a company might subscribe to Workspace and then separately decide whether certain employees required a Gemini add-on. Google began folding those capabilities into its business plans instead.

The result is that AI adoption becomes a Workspace-management question rather than merely an individual software purchase.

Major Gemini capabilities by application

The exact entitlement matrix changes frequently, so organizations should verify the current Workspace edition documentation before making a purchase solely for one AI feature.

Workspace Intelligence: The Layer That Matters More Than Another Chatbot

Google introduced Workspace Intelligence in April 2026 as an underlying AI system that gives Gemini a real-time understanding of work across Workspace.

It can use context across:

• Gmail
• Chat
• Calendar
• Drive
• Docs
• Sheets
• Slides

Google describes it as understanding semantic relationships among content, projects, collaborators and organizational knowledge rather than merely attaching individual documents to a chatbot.

This distinction matters.

A conventional AI assistant requires you to supply the context:

“Here are three files. Please summarize them.”

A context-aware Workspace can move toward:

“Find the material relevant to this project, understand how it relates and help me complete the task.”

That is a much more powerful model.

It is also a much more consequential security model.

AI Search and Knowledge Discovery in Google Workspace

The most interesting part of Workspace for professional researchers is the change in information retrieval.

• You do not know which file contains the answer
• Information is scattered
• You need exploratory synthesis
• You need to identify themes
• You need a rapid orientation to a project
• The terminology in the source may differ from your question

It is useful to separate two transformations that look similar.

Enterprise AI search uses information an organization already controls, such as emails, documents, calendars and chats.

Workspace Intelligence primarily addresses the second problem.

A public search engine asks:

An enterprise system asks:

“What does my organization already know about this subject?”

Researchers increasingly need both.

Why Better Grounding Does Not Eliminate Hallucinations

There is a tempting assumption that an AI connected to company files must be more trustworthy because it has better sources.

Grounding can improve relevance. It does not convert a probabilistic model into a perfect database query.

One of the most important developments in Workspace is the transition from generative assistance to agentic action.

A useful way to understand the change is through four generations of workplace software.

The user directly creates the document, spreadsheet or presentation.

2. Cloud collaboration

Multiple people can simultaneously create, edit and share the work.

3. AI-assisted productivity

AI drafts, summarizes, classifies, analyzes or generates material for the user.

4. Agentic productivity

The user specifies an objective and the AI can plan or execute multiple steps using connected tools, subject to permissions, policies and approval.

Google Workspace now contains elements of all four generations.

Google Workspace Studio

The clearest Workspace-native example of agentic work is Google Workspace Studio.

Google made Workspace Studio generally available in December 2025 and describes it as a place to design, manage and share AI agents in Workspace.

Users can describe an automation in natural language and connect workflows across services such as Gmail, Drive and Chat, with additional integrations and extensibility available. Google states that Workspace Studio is generally available with Business and Enterprise Workspace plans.

Possible workflows include:

• Identifying priority emails
• Extracting information from messages and attachments
• Categorizing content
• Creating follow-up tasks
• Generating documents
• Connecting Workspace processes with external applications

This is materially different from asking Gemini to draft an email.

An agentic workflow can react to events, use context and move a process forward.

Human Approval and Agentic Security

Autonomy introduces a new class of risk.

Google expanded Studio’s enterprise security controls in August 2026, including:

• Agent identities
• Agent access management
• Auditing and observability
• Human-in-the-loop settings
• Runtime protections
• Restrictions on Gemini data access
• Approval requirements for certain sensitive actions
• DLP controls for supported editions

Some of these controls were still in rollout on August 31. In particular, Scheduled Release rollout for some end-user-visible Studio features was due to begin September 1.

This matters because an error in a drafting assistant creates a bad draft.

An error in an agent capable of sending, changing or exposing information can create an operational incident.

What About Gemini Spark?

Gemini Spark should not be confused with Workspace Studio.

Google announced Gemini Spark in May 2026 as a 24/7 personal AI agent inside the Gemini app. It is designed to take actions under user supervision and integrate with Workspace applications.

However, its business Workspace availability should not be described as equivalent to the generally available Workspace Studio environment.

As of the official business announcement reviewed for this August 31 cutoff, Spark’s Workspace business experience was still associated with preview/rollout language rather than blanket general availability across ordinary Workspace customers.

So the accurate 2026 distinction is:

• Workspace Studio: established Workspace-native agentic automation platform, generally available.

• Gemini Spark: newer personal Gemini agent with Workspace integration, but business availability remained more restricted/preview-oriented based on the official material available by the cutoff.

This distinction is important because marketing announcements can easily be mistaken for general product availability.

Google Workspace for Professional Researchers

Google Workspace is particularly useful for research teams because research rarely lives in one application.

A typical project might involve:

1. A planning document in Docs.
2. Source PDFs and supporting materials in Drive.
3. Interviews scheduled through Calendar.
4. Discussions in Gmail and Chat.
5. Interviews conducted through Meet.
6. Survey responses collected through Forms.
7. Data organized and analyzed in Sheets.
8. A final collaborative report in Docs.
9. A presentation in Slides.
10. An internal briefing video in Vids.

Workspace Intelligence can increasingly connect context among those stages.

This means Gemini can become useful for:

• Locating research material
• Summarizing source sets
• Comparing project documents
• Extracting themes
• Building preliminary tables
• Creating initial reports
• Preparing presentations
• Summarizing meetings
• Producing action lists
• Finding previous decisions
• Identifying information scattered through email and Drive

For researchers, however, the correct mental model is:

Use AI to compress the mechanical work surrounding research, not to outsource evidentiary judgment.

A generated answer may tell you where to look.

The source should tell you what you ultimately believe.

The following prices are Google’s standard U.S. dollar list prices for Business editions, excluding temporary promotions.

Google’s official billing documentation lists:

• Business Starter: $7/user/month with annual/fixed-term commitment or $8.40 Flexible.
• Business Standard: $14/user/month annual/fixed-term or $16.80 Flexible.
• Business Plus: $22/user/month annual/fixed-term or $26.40 Flexible.
• Enterprise: contact Google or a reseller for pricing.

Annual plans require a license commitment, while Flexible plans allow users to be removed without waiting for renewal.

Google’s current pricing page confirms the broad storage and plan positioning, including 30 GB for Starter, 2 TB for Standard, 5 TB for Plus and advanced Enterprise controls.

Which Workspace plan provides the best value?

For many established small and mid-sized organizations, Business Standard is the practical sweet spot.

The difference is not merely storage. A number of the most important 2026 Gemini capabilities, including Ask Gemini and AI Overviews in Drive, full Gemini spreadsheet construction and Gemini-generated editable presentations, are available from Business Standard rather than Starter.

Starter remains attractive for companies mainly needing business Gmail and basic collaboration.

Plus makes more sense when retention, eDiscovery, endpoint management, larger meetings and additional controls justify the cost.

Google Workspace Security, Privacy and AI Governance

“Google Workspace is secure” is not a useful conclusion by itself.

Security depends on configuration, edition, user behavior, permissions and organizational controls.

Encryption

Google states that Workspace encrypts customer data at rest and in transit. Gmail also uses TLS when communicating with other mail providers where supported.

Higher-security organizations can use client-side encryption on eligible editions so that the organization controls the relevant encryption keys and Google cannot decrypt protected content.

There is an important AI tradeoff here:

If Gemini cannot access strongly client-side-encrypted information, that information cannot simultaneously provide AI context.

The strongest possible confidentiality and the richest possible AI retrieval are not always compatible goals.

Organizations have to decide which information belongs in which zone.

Authentication

Workspace supports two-step verification and passkeys. Google also enforces stronger authentication requirements for administrator accounts and describes passkeys as phishing-resistant authentication.

For organizations, administrator security deserves particular attention because the Admin Console controls identities, services, policies and access.

Gemini and business data

Google states that Workspace AI respects user permissions and that Workspace organizational data is not used to train generative AI models or for advertising without permission.

That does not mean “turn Gemini on and stop worrying.”

Administrators still need to govern:

• External sharing
• Third-party applications
• OAuth access
• Retention
• DLP
• User roles
• Sensitive data
• Agent actions

• Logs and monitoring

The permission amplification problem

AI creates a subtle governance challenge.

Suppose an employee technically has access to 50,000 files but previously had little practical ability to discover sensitive information buried within them.

Semantic AI retrieval may suddenly make that material easy to find.

The AI has not violated the permission system.

It has changed the effective power of the permission.

This is why organizations adopting Workspace Intelligence should audit old sharing arrangements rather than assuming existing ACLs automatically represent appropriate AI-era governance.

Google Workspace Pros and Cons

Google Workspace vs Microsoft 365 in 2026

Neither platform is universally better. Google Workspace is generally stronger for organizations built around browser-first collaboration and Google’s cloud ecosystem.
